Preparing for a Power or Internet Outage in Resly

Unexpected power or internet outages can disrupt daily operations, but with a few proactive steps, you can minimise the impact on your property. Here’s how to prepare in advance using Resly.

Updated over a month ago

1. Export and Print Key Reports

Without internet access, you won’t be able to log into Resly, so it’s crucial to print essential guest lists before an outage occurs.

Guest Arrivals, Departures & In-House Guests

  1. Navigate to the Dashboard

    • Under the Arrivals section

    • Click on the Printer Icon

    • Select Print Arrival Report

    • You can do the same in the Departures and In House sections.

These reports will give you the guest details including their mobile numbers should you need to contact them during the outage.

2. Save Emergency Contact Details

Ensure you have a printed or offline copy of:
✅ Your team’s contact numbers
✅ Local utility companies (electricity, internet provider)
✅ Emergency services
✅ Key supplier contacts

3. Keep a Manual Check-In & Check-Out Process Ready

If Resly is inaccessible, Use the Arrivals Report to record:

  • Guest name

  • Check-in/check-out date

  • Room number

  • Payment details

Once power or internet is restored, you can update the records in Resly.

4. Prepare for Payment Processing

If your internet is down, payment terminals may not work. Consider these options:

  • Credit Card via ReslyPay – You can access Resly via a mobile device with mobile data. Process payments as you would on your desktop.

  • Payment Link via ReslyPay - You can send a payment link to the guest via Resly so they guest can complete the payment on their device.

  • Cash Payments – Ensure you have a secure way to store cash if needed.

5. Ensure Access to Room Keys & Guest Information

  • If you use electronic keycards, have a plan for issuing manual keys during an outage.

  • Have a list of room assignments to avoid confusion, the Arrivals Report has this information.

6. Communicate with Guests

If an outage occurs:
🔹 Inform guests at check-in about the situation.
🔹 Provide them with emergency contact details and alternative payment options.
🔹 Offer reassurance and updates if possible.

Final Tip: Test Your Plan!

Consider running a drill to ensure your team knows the procedure. This will help prevent chaos if an actual outage occurs.

By taking these steps, you’ll be well-prepared to handle a power or internet outage smoothly. If you need further assistance, contact Resly Support.
