Flexible Inventory Rooms

Flexible Inventory Rooms allow you to manage connected rooms and properties by creating flexible booking configurations, without duplicating availability or risking double bookings.


Overview

Built on the same concepts as Dual Keys and Lock Offs, Flexible Inventory Rooms provide a more flexible way to manage your inventory.

These are all different ways of creating Virtual Rooms in your system:

  • Dual Keys

  • Lock Offs

  • Flexible Inventory Rooms

Flexible Inventory Rooms allow you to combine existing Rooms (Resorts) or Properties (Holiday Homes) into different sellable configurations, without duplicating availability or risking double bookings.

Flexible Inventory Rooms are used for pricing and availability only, while all inventory remains controlled at the Physical Room or Property level. When a Flexible Inventory Room is booked, revenue is automatically split across the linked Physical Rooms or Properties, ensuring reporting remains accurate at the individual Room level.

The Flexible Inventory icon appears throughout the system to help you quickly identify combined room setups.

NOTE

The setting in Resly is labelled Virtual Rooms, so ok to think Flexible Inventory = Virtual Room.


How Flexible Inventory Works in Real Setups

Flexible Inventory allows you to combine your existing inventory into different sellable configurations that can be booked as one single Room.

Depending on your property type, this means linking Physical Rooms (Resorts) or Properties (Holiday Homes) to create larger configuration options — without duplicating inventory.

How availability is managed

When a booking is created, availability is automatically updated across all related Rooms or Properties.

Because Flexible Inventory Rooms are made up of multiple Physical Rooms or Properties, booking one will impact all connected configurations. This ensures availability remains accurate across every setup, without the risk of double bookings. The examples below show how availability is updated in each scenario.


Booking a Flexible Inventory Room

Books all linked Physical Rooms together, making them and any overlapping configurations unavailable.

Family Unit will be Unavailable (because it uses Room B)

Booking a Physical Room

Books the room on its own, while blocking any Flexible Inventory setups that rely on it.

2 Bedroom will be Unavailable (because it uses Room B)

Family Unit will be Unavailable (because it uses Room B)


What does that look like in Calendar View

Book a Flexible Inventory 2 Bedroom (uses Room A + Room B)

Room A and Room B will be Unavailable

Virtual Family Unit will be Unavailable (because it uses Room B)

What happens when you cancel a Flexible Inventory Room?

After Cancelling a Booking made up of Flexible Inventory Rooms, the rooms only become available again when all linked physical rooms are free.

Set Up Flexible Inventory Rooms

NOTE

Before setting up Flexible Inventory, ensure your Physical Rooms (Resorts) or Properties (Holiday Homes) are already created, as these will be linked together.

For Resorts (Rooms) and Holiday Homes (Properties):

  1. Go to Settings > Rooms or Settings > Properties

  2. Click Add New Room or Add New Property

  3. Enter the details for the Flexible Inventory Room

  4. Select the Virtual Room checkbox to enable linked rooms

  5. Use the Linked Rooms dropdown to select the Physical Rooms/Properties

  6. Click Add and Save

NOTE

You may need to refresh the page after saving.

Screenshots below show the setup for Resorts (Rooms). Holiday Homes follow exactly the same process, except it will be Properties instead of Rooms.

Housekeeping

Housekeeping is managed at the Physical Room / Property level. Housekeeping status is inherited from the underlying rooms/properties

Status is assessed from linked rooms:

  • Any Physical Room Dirty > Flexible Inventory Room is Dirty

  • Any Physical Room Clean > Flexible Inventory Room is Clean

  • All Physical Rooms Ready > Flexible Inventory Room is Ready


Reporting

When a Flexible Inventory Room is booked:

  • All linked Physical Rooms/Properties are treated as occupied

  • Revenue is evenly distributed across each linked physical room


Calendar and Reservation View

Calendar View

In Calendar View, Flexible Inventory Rooms are displayed alongside Physical Rooms. A Flexible Inventory Room icon helps identify combined setups.

Availability is shown in real time — if a Physical Room is blocked, any Flexible Inventory Rooms that depend on it will also appear unavailable. This makes it easy to see how bookings impact both individual rooms and combined configurations at a glance.

Reservation View

Bookings made through Flexible Inventory Rooms display the combined setup in the reservation, showing that multiple Physical Rooms or Properties are included under one booking. Revenue from the booking is then distributed across the linked rooms or properties.


Troubleshooting

If something looks unavailable unexpectedly:

  • Check linked physical rooms

  • Check other Flexible Inventory Rooms that may be using them
