Pending Actions

Monitor and manage reservations, requests, modifications, and cancellations that require attention.

Overview

Pending Actions replaces the previous Pending Reservations page, providing a single location to manage reservation activity that requires review.

The page is divided into four types of Pending categories:

Reservations

Reservations waiting for a Room Type or Property assignment before they can be confirmed.

Requests

Reservation requests awaiting approval or rejection.

Modifications

Reservation changes that could not be processed automatically and require manual review.

Cancellations

Reservation cancellations that could not be processed automatically and require manual review.

Each category displays a live count, making it easy to identify items requiring attention:


Pending Reservations

When a booking comes in from an online channel or Resly Direct, it stays pending until a room is assigned. Resly makes this process effortless by showing all available rooms for that booking’s room type, plus occupancy details, making it easy to choose the best option.

Assign a reservation

Navigate to Reservations > Pending Actions > Pending Reservations button

You can also find pending reservations by clicking the Notification Bell. Just click the alert, and Resly will take you straight to the Pending Reservations page.

  • Click the Blue Box with the name of the Room / Property to auto-assign

  • Click the Purple Box to Select A Room / Property manually

Note: The dropdown menu gives a snapshot of room availability for the entire month, plus three days before and after the booking, making it easier to choose the best fit.

Pro Tip: You can also tick Show Inactive Rooms if you need to assign the reservation to a Dummy Room / Property

From Dashboard to Inbox

A Go To Inbox link will be visible for supported booking requests and allows messaging to the guests before accepting or declining a booking request

Why can’t I assign or edit a pending reservation?

Seeing a "No rooms available" error does not always mean the property is fully booked. You may encounter this message when assigning or editing an OTA drop-in reservation, even though rooms are available.

In most cases, the error means there is no single room available for the entire stay because availability is split across multiple rooms. This commonly occurs with Zig-Zag bookings, where a reservation can be accommodated by moving between rooms, but no single room is available for all nights. For example:

  • A guest books a 5-night stay in a 1-Bedroom Premium Room

  • Room 64 is available for the first 3 nights

  • Room 54 is available for the remaining 2 nights

Although the room type has availability across the stay, Resly cannot assign the reservation because there is no single room available for all five nights, so the reservation is flagged as No rooms available.

Zig-Zag booking

How do I manage a Zig-Zag booking?

The best solution depends on your property's availability and operational processes. The most common ways to manage a Zig-Zag booking are:

  • Option 3 – Manually adjust the booking by moving the reservation to available gaps in the calendar

Set up Dummy Room/Dummy Property:

To assign a reservation to a Dummy Room / Dummy Property, create a new Room / Property and set it as Inactive. This keeps it out of the Active availability while allowing you to temporarily move bookings as needed.

Step 1

From Calendar View

Click [Show Inactive Rooms] as indicated, to check which have been designated as a Dummy Room / Dummy Property

Step 2

From the Pending Reservation, click on Assign a Room and select [Show All Rooms]

Select a designated Dummy Room


How do I manage Finance?

Split Accommodation Charges

When a guest stays in multiple rooms, split the accommodation charges so each reservation reflects the correct portion of the stay.

Example

A guest books 5 nights at $200 per night (total $1,000):

  • Unit 64: 3 nights = $600

  • Unit 54: 2 nights = $400

Step 1

Receipt the full $1,000 accommodation charge to the first reservation Unit 64

Step 2

Click on red Transfer button

The Transfer Funds screen will appear:

[Select a Charge] -> [Search Reservation - Unit 54]

Enter Transfer [reason] and [amount] > Click Transfer

Step 3

Ensure you have selected the correct reservation [3375 - Joseph, Medge] you are transferring the funds.

Click Transfer

Step 4

Adjust the Accommodation Charge to reflect the correct amounts:

Go back to Unit 64 in the Finance Tab, click into [Accommodation charge] and [Edit] amount from $1000 to $600.

Set the amount to $400 for Unit 54

Pending Reservation Requests

Pending Reservation Requests display reservations received as Request to Book that require approval before they are confirmed.

For each request you can:

  • Review the reservation details.

  • Select Confirm Request to accept the booking

  • Select Reject Request to decline the booking

From Dashboard to Inbox

A Go To Inbox link will be visible for supported booking requests and allows messaging to the guests before accepting or declining a booking request.


Pending Modifications

Pending Modifications display reservation changes received from connected booking channels that Resly could not process automatically.

These requests require manual review before they can be cleared.

Process a pending modification

  1. Select Pending Modifications

  2. Review the reservation and the requested changes

  3. Compare the modification with the booking in the booking channel

  4. Apply any required updates in Resly

  5. Select Mark as Processe

Selecting Mark as Processed removes the item from the pending list.

Reservation notification

When a reservation has a pending modification, a notification banner appears at the top of the reservation.

Select Click to view details to review the request.

After completing any required changes, select Mark as Processed to remove the notification.


Pending Cancellations

Pending Cancellations display cancellation requests that could not be processed automatically. Review the cancellation before clearing the notification.

Process a pending cancellation

  1. Select Pending Cancellations.

  2. Review the cancellation details.

  3. Confirm the cancellation in the booking channel if required.

  4. Apply any required updates in Resly.

  5. Select Mark as Processed.

Selecting Mark as Processed removes the item from the pending list.

Reservation notification

Pending cancellation alerts also appear within the reservation, where they can be reviewed and marked as processed.


Audit History

The Show History toggle is available on:

  • Pending Reservation Requests

  • Pending Modifications

  • Pending Cancellations

History provides an audit trail of items that have already been completed, whether they were processed automatically by Resly or manually by a user including which user.
