Manage Airbnb booking changes

Overview

When a guest requests a change to their accommodation through Airbnb, Resly manages the reservation modification through a series of steps. Each step is assigned a status that helps you track the progress of the request and identify where the modification is within an approval and update process.


When the Requested Dates are Available

Note the different Status updates in the Reservation Alteration window, as you step through the process below.

Step 1 Receive Alteration Request

A Notification is received after guest requests a modification through Airbnb.

A banner message alert regarding the modification request has been received and is waiting for review by the Host.

Step 2 Review Alteration Request

Click on Review Alteration to view details of the request in the Reservation Alteration window, which include:

  • Alteration details requested by Guest

  • New Guest Total owing (if price change)

  • An alert in green, showing that the requested dates are available

Status Pending Host Approval

Note

The original reservation remains unchanged. Dates, pricing, and inventory are not updated yet. Inventory is not blocked for the requested modification dates during this stage.

Step 3 Check Availability Before Accepting

Click Approve Request which will inform Airbnb that the alternation request it is currently available.

Status: Pending Host Approval

Note

The modification is still not finalised at this stage. The reservation will still display the original booking details until Airbnb confirms the modification.

Step 4 View Alteration Status

Click on View Alteration Status to view updated details from Airbnb

Alteration has been approved by Airbnb and they are now waiting for payment and final guest confirmation.

Status: Awaiting Airbnb Confirmation

  • New approved dates show in bold

  • Original dates, still currently held in Resly are struck out

  • New Guest Total owing is displayed

Step 5 Alteration Is Confirmed

Once payment has been processed and reservation confirmed by Airbnb, status will be updated in the Reservation Alternation window, as shown below.

At this time:

  • Reservation details are updated in Resly

  • Availability is refreshed for the property

  • Inventory and restrictions are updated

  • Connected channels receive the updated reservation information

Status: Confirmed


When the Requested Dates are Not Available

Other statuses exist when either the Host or Airbnb have been unable to complete the process and confirm and accept payment.

Declined

The alteration request was declined and no changes have been made to the reservation.

Host may have Declined Request (Step 2)

Status is updated to Declined

Cancelled

The alteration request was cancelled by Airbnb or the guest, or it expired before it could be confirmed.

No changes have been applied to the reservation.

Status is updated to Cancelled

Voided

Airbnb were unable to return a Confirmed status. The alteration request is not actioned as can be seen in the Banner message.

Status is updated to Voided


Status Summary

Each Airbnb alteration request is assigned a status so you can track its progress from the initial request through to confirmation. Here is a summary of all statuses.

Status

Meaning

Pending Approval

An alteration request has been received from Airbnb and is waiting for review. The request can be accepted or declined by the Property Manager.

Awaiting Payment

The alteration request has been approved, but Airbnb has not yet finalised the change. In most cases, Airbnb is waiting for the guest to complete any required payment before the alteration can be confirmed.

Confirmed

Airbnb has finalised the alteration request and the reservation has been updated in Resly. Any related inventory, availability, and channel updates are processed automatically.

Declined

The alteration request was declined and no changes have been made to the reservation.

Cancelled

The alteration request was cancelled by Airbnb or the guest, or it expired before it could be confirmed. No changes have been applied to the reservation.

Voided

Airbnb were unable to return a Confirmed status. The alteration request is not actioned as can be seen in the Banner message.


Important to understand

Airbnb controls the payment process

Be aware of the following as Resly cannot accelerate or override Airbnb’s confirmation process:

  • Payment confirmation timing may vary

  • Modifications can remain pending for extended periods

  • Guests may not complete payment immediately

Monitor Awaiting Payment Modifications

If a modification remains in Awaiting Payment for an extended period:

  • the guest may not have completed payment yet

  • Airbnb may still be processing the request

  • the reservation remains unchanged until confirmation occurs
